Converting WebEx Chat Message Data to RSMF

This BluePrint guides you through using the Chat Tools MIME (EML) Message Parser script to convert WebEx Chat Message data to RSMF. In doing so, you will:

  1. Import the WebEx Chat Message data (EML files) as individual records.
  2. Run the Chat Tools MIME (EML) Message Parser script.
  3. Run the Chat Export wizard.

A. Import the WebEx Chat Message data (EML files) as individual records

  1. In the ReadySuite ribbon, click External Data > Folder Data > Import Native Files to open the Import Native Files wizard.
  2. Import the WebEx Chat Message data as individual records (one email file per document) using the Import Native File wizard.
  3. The imported WebEx Chat Message files are listed in the Document Grid View.

B. Run the Chat Tools MIME (EML) Message Parser script

  1. Click Scripts > Chat Tools > MIME (EML) Message Parser script .
  2. Complete the Script Options dialog box with the examples in the Chat Tools topic for the MIME (EML) Message Parser script.
  3. On the Script Options dialog box, click Ok.
  4. On the MIME (EML) Message Parser dialog box, click Start Script.
  5. View the results of the completed process and click Finish.
  6. If attachments were included in the import, they will counted in the Created column.

C. Run the Chat Export wizard

  1. In the ReadySuite ribbon, click External Data and click Chat to open the Chat Export wizard
  2. On the Export Setup page, specify the file export settings, file batch settings, and advanced export settings with the following:
  3. Specify file export settings section

    • Format: Select RSMF 1.0
    • : Select from the following:
    • Header Fields: Clear the Set 'To' field and Set 'From' field options.
    • Export Path: Click Browse and navigate to where you want to export the Chat Message Data.
    • Time Zone: The time zone of the source data set (such as the Timestamp).
    • The selected Time Zone is used for any batching by date operations

    • Attachments: Select to embed attachments into the RSMF. For HTML, only certain media (.mp3, .wav. and .ogg) and images (.png, .jpg. jpeg, and .gif) can be attached. These settings can be configured in the chat file.

    Specify file batch settings

    If multiple conversations are present in the data set, consider batching them with following settings to sort them by reference and date with the following optional settings.

    • File Prefix: Webex.
    • Batch By: Select References.
    • Split By: Select Date and Day) to separate all the Webex messages on a single day.
    • Note: Relativity recommends that an RSMF file should have no more than 10,000 events, so use batch settings that create files within these guidelines.

    • Saved Path: Click the Add button and in the Create Field dialog box, enter a Field Name of Exported RSMF File and click Add Field.
    • Encoding: Recommend using default Unicode (UTF-8).

    Specify additional RSMF container settings

    Additional RMSF container settings can be manually added, if you choose.

    • Application:
    • Custodian: Select to populate with the contents of the From header field.
    • Collection ID: (optional): Select to set the internal ID structure of the participants and attachments in the RSMF load file.
  4. Click Next.
  5. On the Chat Fields page, page, field map the contents of the Chat Fields by select the following Chat fields to appear as ReadySuite Destination Fields.
  6. Note: You can click the Filter icon to view the ReadySuite fields or the Chat fields

    • Send (From)
    • Recipients (To)
    • Conversation Id
    • Timestamp
    • Message (Body)
    • Attachment Name
    • Attachment Path
  7. Select following ReadySuite fields as Source Fields for the corresponding Chat Destination Fields.
  8. Note: The Source fields are the fields created previously by running the MIME (EML) Message Parser script

  9. Manually set the following Chat Fields:
  10. Conversation Platform

    • In the Chat Fields list, select Conversation Type.
    • Click the More Field Options icon and in the Dynamic Field list, select Static Field.
    • On the Create Field dialog box, enter a Text Value of Direct, then click OK.
    • With DATA: Direct listed as a Source Field, select Conversation Type as its Destination Field.

    Conversation Type (Direct or Channel)

    1. In the Chat Fields list, select Conversation Platform.
    2. Click the More Field Options icon and in the Dynamic Field list, select Static Field.
    3. On the Create Field dialog box, enter a Text Value of WebEx, then click OK.
    4. With DATA: WebEx listed as a Source Field, select Conversation Platform as its Destination Field.

    Message Type (can be message, disclaimer, join, or leave)

    1. In the Chat Fields list, select Message Type.
    2. Click the More Field Options icon and in the Dynamic Field list, select Static Field.
    3. On the Create Field dialog box, enter a Text Value of Message, then click OK.
    4. With DATA: Message listed as a Source Field, select Message Type as its Destination Field.

    Note: An alternative to using the Tool icon is to batch edit and create a field in the Document Grid View. This can then be selected on the Chat Fields page when field mapping the contents of the Chat Fields to ReadySuite fields.

    1. On the Home tab, in the Fields section, click Batch Edit.
    2. On the Batch Edit dialog box, click the Add button in the Select a Field. On the Create Field dialog box, enter a Field name of Conversation Type and click Edit Field.
    3. On the Batch Edit dialog box, in the Select Action section, select Assign Value.
    4. In the Options section, in the Assign Value, type Direct.Click Run Edit.
  11. To save this field map, click the Tool icon and in the Profiles list, select Save Field List, then use the Save Field List dialog box to specify a location for the field map and click Save.
  12. Click Next.
  13. On the Chat Participants page, preview the participants for the load file.
  14. Click Next.
  15. On the Chat Conversations page, preview the conversations for the load file.
    The conversations listed will map to the References, as configured previously on the Chat Fields page of the wizard.
    WebEx is listed as the Platform with a Type of Direct as they were configured as Static values on the Chat Fields page.
  16. Click Next.
  17. On the Chat Preview page, preview the Chat data before creating the report.
  18. Click Start.
  19. On the Import Progress page, view the details of the import process.
  20. Note: If warnings exist, the Warnings icon displays the number of instances. Click to view the Event Log for details.

  21. Click Finish.

After exporting, the data set can be viewed in Relativity.
